This policy covers Experience Translator, Career Navigator, Career Roadmap, programme and cohort participation, feedback and evaluation forms, and Coach Lite. Please do not enter confidential information or personal information about somebody else unless you have a lawful reason to do so.
What we collect
Depending on what you use, we may collect your first name, optional email address, answers about your experiences, achievements and goals, selected interests and capabilities, evidence notes, career choices, development actions, roadmap progress, programme or cohort reference codes, consent choices, and feedback or evaluation responses. Organisation pilot requests and Coach Lite applications collect the contact and programme information shown on those forms. Coaching sessions may include information a client agrees to share, session notes, actions and feedback.
Why we collect it
We use information to provide the tool you requested, create and save your outputs, maintain your progress, operate consented coaching or cohort experiences, respond to enquiries, keep the service secure, and evaluate and improve OYE. Programme evaluation uses consented data to produce anonymised aggregate insights; participating organisations are not given personal Evidence Briefs or individual reflections through programme reporting.
AI processing
Experience Translator sends the name and answers you provide to a hosted AI service so it can draft your Evidence Brief. Coach Lite can send the session material entered for an evidence statement to the same hosted AI service. Email addresses are not included in those AI prompts. AI providers process this information to return the requested output and may retain limited service logs under their own terms for security and abuse prevention.
Where information is stored
Career Navigator answers, Career Roadmap progress and evidence notes are primarily saved in your browser so you can return to them on that device. Experience Translator submissions, including answers and generated report content, are also stored securely in the platform's database for operation and support. Programme participation, consent, evaluation and feedback records are stored using an anonymous or pseudonymous participant reference. Coach Lite records are stored so an approved coach and consenting client can use their shared session.
How long we store your information
Browser data remains until you clear this site's storage or reset the relevant journey. Server-side submissions, programme records, feedback, enquiries and coaching records are retained until they are no longer needed for the purpose collected or a valid deletion request is completed. Specific retention periods are under review and will be added here once formally adopted. If you need a record removed now, use our data deletion request process.
Sharing and programme reporting
We do not sell, rent or trade personal information. Information is processed by the service providers that host and operate OYE, by the AI service when an AI-assisted output is requested, and by Google Analytics only when you accept analytics cookies. Programme reporting is anonymised and aggregate, and detailed results are withheld for groups that are too small to report safely. Approved coaches can access only the client information shared with them for a consented coaching relationship; authorised OYE administrators can access records needed to operate and safeguard the service.
Analytics
If you accept analytics cookies, we collect anonymous usage events (page views, generator progress, download success) via Google Analytics 4 with IP anonymisation. We never send your written answers, name, email address or report contents to the analytics platform. You can decline or change your preference at any time on our Cookie Policy page.
Your rights
Depending on the law that applies to you, you may ask for access to, correction of or deletion of personal information we hold, object to or restrict certain processing, withdraw consent, or request a portable copy. You can withdraw analytics consent on the Cookie Policy page. See Request Data Deletion for how to contact us. We may need enough information to locate a record and verify the request.
